SOUTHSIDE BOOSTER CLUB

The Southside School Booster Club is a non-profit organization formed of parents, employees and community members.

The Southside School Booster Club’s purpose is to assist in supporting the Southside School, students and staff with activities and financial help for the betterment of the school and children. Joining the Booster Club and volunteering at school events are great ways to support our students, to meet other parents, and to get involved.

Please consider volunteering with the Booster Club. By volunteering with other parents you provide financial support for assemblies, fieldtrips, education foundation grants, family nights, staff grants, ea grants, and much more.

SSBC Meeting minutes for…
February 4, 2009

*Meeting was brought to order by Sharon @ 6:34

Attendance: Sharon Donaldson, Kim Paller, Michelle Davidson, Betty Linker, Ric Greenwalt, Jenny Forsman, Amada Wilgenberg, and Lori Cox.

Approval of minutes for January 2008. Michelle made a motion to approve Meeting minutes for January with changes to the financial report stating that a vote was taken and passed for $500 to be put into a playground savings account, and all of the proceeds from cookie dough sales going into this fund. and Ric 2nd. Motion passed 4-0.

Financial report - Ric reported current balances, Checking - $22,244.75 CD matured in February and deposited into checking, Since CD matured Ric suggested we start a $5,000.00 operating CD for next year, Michelle made a motion to approve and Ric 2nd , motion passed 4-0. New CD (Playground) -$3,066.35, Savings (Playground & Equipment. Vote taken to put $5,000 into playground savings, Michelle mad a motion to approve and Ric 2nd. Motion passed 4-0.

Old Business
Blood N’ Guts (Michelle)- Michelle said setup is for Friday 2/20/09. Sharon changed the time from 11-2 to 10-1. Ric will bring a check for this event on that day.

Playground Project – Sharon is working on the grants and has the equipment catalogs. Amanda Wilgenberg will make the playground fundraising sign and will check with ProBuild for plywood donation and paint. Lori suggested we check with the Kiwanis and Rotary Clubs for grants. Playground costs estimated between $25,000.00 to $50,000.00.

Movie Fundraiser- Nothing scheduled until March.

Helium tank – Air-Gas delivered the tank and gauge to Kim’s work for us to pick up. Filling the tank is an exchange and we can possibly exchange it there also. Total cost $240.00.

1/9/09, Jeff Evens- Michelle said that everyone who went to the program loved it.

1/26 to 2/9/2009, Cookie Dough fundraiser – Sharon said a flyer reminding students that the fundraiser will end soon was sent out to all the teachers and students. She also reports that the profit from sales is 47%. If sales top $15,000.00 the % would be 50%. Ric and Michelle will help Sharon tally cookie sales on Monday 2/09/09.

6/6/09, Southside Festival – Lori passed out a list of last year’s vendors and booths. She also devised the layout of the festival and went over all the volunteers’ positions. Booth cost for an 8x10 spot will be $25.00 and approx. 25 openings will be available.

Espresso machine still broke. Amanda will let Sharon know of a maintenance person that works on espresso equipment and Ric will email Michelle with the model no. (Probably not cost effective to rent a machine for the festival/maybe get a loaner from someone?)

May Day Float – Southside Booster Club had decided at the last meeting to get a bid on a large banner for the parade and other events instead of purchasing a new float. Sharon will check on banner bids with Blackstar, Signs by Erin and Bublitz Sign Design.

New Business-
Natasha Hamilton is starting a Southside Band Program. So far 48 students have signed up for this program. The band program will start on February 23rd. She had requested any funding possible to help with the cost of instrument rentals for students who might need financial aid. Betty Linker made a motion to start a band fund of $500.00 and Michelle 2nd, motion passed 4-0.

Our next Booster Club meeting and Festival planning will be March 4, 2009 at 6:30 pm in the Southside community room.

SSBC Meeting minutes for… January 6, 2009

*Meeting was brought to order by Sharon at 6:41 pm

Attendance:
Eileen Bailey, Michelle Davidson, Betty Linker, Sharon Donaldson, Ric Greenwalt, Janelle Riley, Lori Cox and Andrea Pennington

Approval of minutes for November and December 2008. Ric made a motion to approve both sets, Michele 2nd. Motion passed 4-0.

Financial Report -
Ric reported current balances, Sports park - $4,391.79, Checking - $10, 993.49, CD (mature in February) -$12,185.30, New CD (Playground) -$3,000.00, Savings (Playground & Equipment) -$100.00. Ric reported that he picked up the Profit/ loss statement from Kathy’s Klassics He will put copies in the SSBC box for viewing. If anyone has any questions after reading it, highlight and make notes and he will ask Kathy at their next meeting. Ric also recommends putting $500.00 into Playground savings and dedicating the profits from the Cookie Dough sales to the Playground/ equipment fund.

Teacher Request -
Betty Linker has a request. Her 3rd grade class would like to make Monster Cookies for the entire school! This will be an educational activity using measuring etcetera. She is asking for $150.00 to cover ingredients and individual cartons of milk (from food service.) Ric made a motion to grant her request, Michelle 2nd. Motion passed 4-0.

Old Business -
Playground Project – Sharon asked if anyone wanted to volunteer to help with organizing this project. Ric volunteered to talk to the people from “Big Toy” about equipment and he will look into the permit process. Sharon will do the grants.

Helium tank –
Lori reported that “Air-Gas” has the most reasonable price. They deliver to Manke where Kim Paller works. Lori will talk to Kim and ask if Air-Gas can deliver our tank, gauge and filler to Manke for us to pick up. Filling the tank is an exchange and we can possibly exchange it there also.

Holiday Festival report –
This event was great! Lots of positive comments. Michelle reported she still has 6 large packages of uncooked pasta in her car. They can be purchased from SSBC for $4.00 each.

1/9/09, Jeff Evens-

Magic assembly and family night 6:30 to 7:15pm. Ric has this Family night totally under control. He is hoping Tim will leave the chairs set up after the assembly.

1/26 to 2/9/2009, Cookie Dough fundraiser –
Sharon reported that the incentive for sales will be: For every 5 boxes of Cookie Dough sold each student receives a “Dog Tag” and gets to enter their name into a drawing for either an IPod Nano or a Nintendo DS. The drawing boxes will be covered with differend colored paper and clearly marked. It will be the students’ choice as to which prize they want to try to win.

6/6/09, Southside Festival –
Lori passed out a list of last years vendors and booths. There was some concern about what kinds of vendors we should have in the Gym this year. We will be looking for more Artsy types of vendors, fewer multi level vendors. For instance, baskets, hand made jewelry, soaps, wood signs, and wool / yarn creations etcetera. Lori announced that she is working on getting the Trout pond. There have also been suggestions for more activities for younger children. Andrea offered to talk to the Cub Scout Pack 110 about borrowing their magnetic Fish and Poles for a younger kids fishing pond. Del’s has loaned them a large livestock tank for the pond in the past. Kids catch the magnetic fish with special poles, each fish is numbered for a prize. Andrea also said she will talk to the Boy Scout Troop 110 about the Mini Golf. Lori said we still need to come up with a few other games/ activities. Ric volunteered to organize and contact the obstacle course, bounce house and Sumu wrestling. Andrea volunteered to organize Gym vendors and will ask Ginger Grout if she would be willing to help. We need to find a generic Vendor form. Sharon, Kim and Michelle volunteered to work the Auction. Eileen volunteered to be in charge of advertising, we all agree that this needs to be a well advertised event in throughout Shelton and surrounding areas. Lori volunteered to organize the outside vendors including Kettle Corn and Hungarian Elephant Ears with help from Sharon.

May Day Float –
Lori asked about the float fund. Ric reported that we, SSBC have $1,000.00 set aside for the float. After some discussion about purchasing and building a new float, Andrea suggested not using a Float at all this year and purchasing a nice Southside School banner for students to carry through the parade and asking the local collector car clubs to drive our SS Royalty through the parade. The kids and parents of the Court would be responsible for making a sign for the door with their names etcetera. We will need to make guidelines for signs further down the road with the help of the car owners. This would eliminate the need to purchase a trailer, build a new float and find a good place to properly store it year round as well as involve the community through the local car clubs. The only financial investment would be the banner that we could use year round for other events or parades and a few decorations. The left over money could possibly be used for the Playground. We will need to find out about the paperwork involved for this kind of parade entry. Sharon volunteered to look into a school banner. Andrea and Lori will be in charge of cars and decorating guidelines. Ric made a motion to use cars instead of a float this year, Andrea 2nd. Motion passed 4-0.

New Business
Michelle asked if she could take some blue paper (SSBC) to her work to make copies instead of trying to use the copy machine in the teachers lounge. It would be more convenient for her as well as the teachers due to copy machine traffic (especially in the mornings.) We all agreed that this would be fine. Betty also reminded us that the copy machine in the primary building has less traffic and we are free to use it.

Our next Booster Club meeting and Festival planning will be February 4, 2009 at 6:30 pm in the Southside community room.

SSBC Minutes for….November 3, 2008

The meeting was called to order by Sharon at 6:36 pm.

In attendance

Approval of July, September and October minutes, Michelle made a motion to accept all minutes meeting minutes, Ric 2nd. Motion passed 5-0.

Financial report
Ric reported that the books are still being done by Cathy’s Classics. They will be running approximately 1 month to 11/2 months behind in other words, we should have Octobers record done by the December meeting while she will be working on Novembers records for completion in January etcetera. He reported the account balances as follows; Checking - $12,398.52. Sports Park - $4,385.99. CD - $12,120.00 (comes due in February2009)

Old Business
Teacher Requests: There are no new teacher requests at this time. Checks have been written to Jackie, Dave and Lou Ann.

Family Movie night at Shelton Cinemas “Beverly Hills Chihuahua” This fundraiser brought in $658.00 in the 2 day showing. We owe Kathy (the cinema owner) a thank you for her generosity. Family movies have been a very fun and popular fundraiser. We discussed perhaps showing our appreciation by helping her remove unwanted Black Berry bushes and brush from her yard. Amanda offered to ask her father if he could possibly help with removing the bush with his farm equipment. We will follow up on this at a later meeting.
The price of the movie is $4.00 pre-sale and $5.00 at the door. The question was asked; do we want to keep these prices? It was decided to keep the prices the same at this time. It seems to be working well.
OysterFest: OysterFest went “okay” this year. Despite the Espresso machine braking down, we still brought in approximately $1,500.00. We need to look into repairing the machine. Michelle reported that in her attempt to find someone to repair the machine at OysterFest she was told by the service people that this particular machine is obsolete and the parts to repair it will be difficult or impossible to find. We need to look into this further and decide if we can repair the machine or not.
Planetarium: Michelle reported that the Planetarium visit by PSC went well. Betty reported that the kids loved it!
Trunk or Treat: Andrea reported that Trunk or Treat went well. Fire District 4 was a big hit along with the Cake walk, bean bag toss, fortune teller, photos, All 9 Trunks were decorated! She suggested purchasing a tub for storing permanent trunk or Treat supplies for future use. A flier went out to students this week thanking everyone for their donations and participation.
Jim Valley 11/14 assembly and Family Night: Michelle will contact people if she needs any help.
Rock’N’Roll Geology assembly is all set for 11/21
Hiawatha Fundraiser: Kim gave a report on shirt orders. They are going well we have only had one sweatshirt glitch with a student that ordered the wrong size. Andrea offered help if needed. The Hiawatha fundraiser ends Friday. Lorie and Sharon offered to help tally the orders they will meet at Kim’s home Nov. 9 at 12:00 pm. Lorie suggested handing them out before Thanksgiving. We may need a work party to fill and distribute orders. Tim suggested sending home fliers to families giving them instructions on order pick up date, time and procedure. If we get him the information he will work up the ¾ sheet flier and get it out to students. Order distribution is planned for November 21st or 24th. Jenny Forsman offered to help.
Recycle assembly is set for 12/11: A few Southside students have started a Recycle Club. The club is opened to all students. Their goal is to help educate students and promote recycling. Mrs. Feely is their advisor.
Baseball Field: Tim reported that Larry Forsman has done a great job prepping the field! The sprinklers are in the Hydro seed is down. The field is closed until March. Tim reported we need to spend $3,000.00 in grant money. He suggested a blade wide path with crushed rock around the dugouts, grading the diamond, bat racks and bases. He also reported that the riding lawn mower needs to be updated. Lorie expressed concern for the Hydro seed and the rain storm/ flood reports. The question was asked: Should we cover the seeded field with plastic to protect the field from erosion? Tim reported that the cost of seeding was minimal. Ric did not think it will be necessary. It was agreed that Lorie can look into the cost of sheeting the field vs. possibly reseeding it in the spring (if needed)
Holiday Festival: The festival is set for 12/11: We will all help with this event. We plan to have a bake sale, photo booth, 2-3 craft stations; Tim suggested talking to Jackie R. about using her Karaoke machine for “Holiday music Karaoke” He also suggested possibly serving dinner. Kim and Andrea volunteered to look into serving Spaghetti, salad, garlic bread and a simple desert. Ric pointed out that this will add to the budget considerably. Michelle made a motion that we expand the budget for this event to include dinner. Andrea 2nd. Motion passed 5-0. We should plan on feeding 300 people. We decided on the following committees: Crafts – Janelle, Michelle, Ric, Sharon. Food – Kim, Andrea, Lorie and Jenny. Photos – Sharon’s daughter, Natasha (ASB should help with the back drop) Karaoke – Tim. Bake sale – Betty and Sharon. Raffle – unmanned at this time. Sharon will ask Jill K. if she will donate the trees.
We will have a special Holiday Festival planning meeting on November 18th at 6:30 pm. Andrea reported that she will be out of town that week but will help.
We discussed a giving tree. Tim will look into this; Mitchell volunteered to decorate the tree with popcorn, cranberries and non-denominational décor. The tree would be located in the office and parents would be required to sign for gift tags.

New Business
Tim reported that Patty Madison was elected Mason Counties Wal-Mart “Teacher of the Year” She was awarded a check in the amount of $1,000.00. The check is made out to SSBC. Tim asked if SSBC would cash this check for her. Andrea made a motion to cash the check for her, Michelle 2nd. Motion passed 5-0.
Mary Chabuk sent us a Thank you card for her $100.00 grant. She bought books for the Library with her money. It was also reported that we qualified for a $900.00 Book bonus from the Scholastic Book Fair with her help.
Movie Night “Madagascar Escape 2 Africa” 11/16: Doors open 10:15 and movies start at 10:45 am. Ticket pre-sales 11/10 am Amanda, 11/12 am Andrea, 11/11 (no am sales) 11/14 am Janelle. Janelle volunteered to sell tickets every day after school. Michelle will help at the Theater.
Movie Night “Bolt” 11/22: Pre-ticket sales 11/17am (?) 11/19 Kim P. 11/21 am (?) Sharon will check with Ginger G. to ask if she will sell tickets in the mornings. Janelle volunteered to sell tickets in the afternoon. Lorie, Ric and Sharon will help at the theater.
Helium Tank: Lorie submitted estimates for SSBC possibly purchasing their own Helium tank. A 40 cubic tank fills about 311 balloons. The bottle cost $152.10 and the gauge $45.00. There are other sizes available. We will look at the estimate and decide on this at the next meeting. She thinks it would be beneficial to own a tank.

Reminder** Holiday Festival planning meeting will be held November 18 at 6:30 pm in the community room.
